These Data Protection Regulations are valid for all personal data collected, processed or used by Hamburg Messe und Congress GmbH or its subsidiary. This includes information that we received as a result of your participation in a trade fair or other event and your business correspondence with our company as well as data that was passed on to us by third parties to use for international trade fair purposes.
Also included is data contained in your registration documents, information received from your visits to our websites (which is used for purposes of technical administration) and data obtained as a result of a security check to determine if you are authorized to access any protected Internet pages. Our data-protection concept also incorporates contractors who might need your data to carry out an order to your complete satisfaction.

B. Notice to specialized internet use
1. Visitor registration
Hamburg Messe und Congress GmbH offers you as a registrated visitor to save individual watch lists of exhibitors in the online exhibitor directory and to reload them via your mobile phone (within an app).
You will need an account to save these data. On creating this account you will have to enter your first and last name and your email address.
2. Online orders
You can order several information (e.g. catalogues, prospect for visitors) online. In the context of the order process we receive from you the data required for processing of the order and performance of the services agreed. Data fields, through which the data required for processing of the business transaction is collected, are always marked separately (with an asterisk).
3. Online ticketing / registration
We offer you the service to buy tickets online or to registrated as a professional exhibition visitor. In this context it is necessary for you to supply us with information: first name, surname, address, e-mail.
The external service suppliers that we employ, who sometimes require personal information in order to complete your order to your fullest satisfaction, are also included within our data protection provisions.
Hamburg Messe und Congress GmbH uses an encryption system in order to ensure the safe transfer of data to our commission external suppliers.
We shall not allow any storage/use/processing/transfer of your personal data without your consent nor allow anything to done with such information that might exceed the requirements of data storage as outlined above.
Use of your personal data within these pages shall be exclusively for the purposes of regular business processes and for customer care as regulated by the German Federal Data Protection Statute (BDSG).
If you are making inquiries of us from abroad, we will, if necessary, provide our foreign representatives with your data via a secure network for further processing. If you have specific queries about this, please contact the relevant foreign representative.
4. Electronic newsletters
We enable the ordering of electronic newsletters on various subject areas. For this, we record the e-mail addresses of those users who voluntarily register as subscribers. The users can delete themselves from the circulation list by following the instructions including in every dispatch.
5. eTracker web analysis
On this website, data is collected and saved for marketing and optimization purposes with the technologies of etracker GmbH (www.etracker.com). Usage profiles are created from this data under a pseudonym. Cookies can be used for this. The data collected with the etracker technologies are not used for personally identifying the visitor to this website or combined with personal data about the bearer of this pseudonym, without the separate consent of the affected party.
6. Google Analytics
This website or mobile application uses Google Analytics, a web analysis service of Google Inc. ("Google"). Google Analytics uses so-called Cookies, i.e. text files stored on your computer that allow Google to analyse your use of the website. The information generated by the cookie about your use of the website or mobile application (including your IP address) will be transmitted to and stored by Google on servers in the United States. 2. Purposes of data storage, processing or use
The purpose of the company is the implementation of trade fairs, exhibitions, congresses and events as well as all activities domestically and abroad in relation to trade fair, exhibition, congress and event business. In order to fulfil this purpose, the company maintains trade fair and exhibition facilities, as well as congress and event premises, which it uses for the event or rents out for an appropriate fee. The company is also entitled to implement other events, which are suitable for promoting the business purpose. The data collection, processing and use only takes place for fulfilment of the above purposes.
3. Description of the affected groups of persons and the related data or data categories
For the fulfilment of the purposes stated under 3.4, the following person-related data is collected, processed and used for each group of persons:
Representatives of exhibiting companies
Company data with addresses, contact persons and communication data, information on branch of industry, product data, contract and settlement data
Professional exhibition visitors (representatives of companies visiting trade exhibitions)
Registration data such as company data with addresses, contact persons and communication data, information on branch of industry, product interests as well as contract and settlement data
Exhibition visitors (public events without status as professional visitor)
Name, address, communication data, exhibitors of interest, payment data
Exhibitors of interest (potential new customers)
Company data with addresses, contact persons and communication data, information on branch of industry, product data, interests
Contact persons of suppliers, service providers, other business partners
Company data or data on institutions with addresses, contact persons and communication data, information on products and services, contract and settlement data

4. Categories of recipients, whose details can be sent
Recipients or categories of recipient to whom the data can be forwarded:
- Public bodies given the existence of overriding legal regulations (category A-F)
- Subsidiary of the Hamburg Messe und Congress GmbH (category A, B)
- Companies who acquire an exhibition event from Hamburg Messe und Congress GmbH (category A-D)
- Foreign representations if the registered company office of the person visiting the exhibition is abroad (category B)
- For internal communications, support, administration and settlement (category F)
- Order-data processors of Hamburg Messe und Congress GmbH (category A-C)
- Service providers for exhibition-accompanying services if the person inquires about corresponding services to Hamburg Messe und Congress GmbH (category A-D)
- Exhibitors who have issued vouchers for visitors will receive the visitor data (name, address, communication data) for the vouchers redeemed, provided this has been agreed by contract (category B)
In all cases, the forwarding of data is for fulfilment of the purposes stated under 2.
5. Statutory periods for deletion of the data
The legislator has ordered diverse retention obligations and periods. After the expiry of these periods, the corresponding data is deleted. If data is not affected by this, it will be deleted, if the purposes under 2. cease to apply.
So that an objection to using collected personal data for marketing purposes can be taken into consideration at any time, the objecting party’s data will be kept in a block list.
6. Planned sending of data to third party states
In order to fulfil contractual purposes or implement pre-contractual measures with parties interested in exhibiting/exhibitors and with parties interested in visiting/visiting companies from third party countries, for sending data to the foreign representative office of the third party country, the same requirements shall apply as for foreign representative offices within the EU. For this, the relevant data listed under 3. shall be sent to the foreign representative office.
With representative of companies from third party states who are visiting trade fairs, the visitor name can also be given to the responsible foreign representative office, as long as no objection exists to the dispatch. The registration details of a company visiting the trade fair whose representative contacts an exhibitor can – subject to the consent of the visitor – be sent to the visited exhibitor, regardless of whether it involves a domestic, EU or third party country exhibitor.
D. Right of objection
Naturally, every one of our customers is at liberty to indicate purposes for which his person-related data should not be used. Should you no longer wish your data to be used for a specific purpose, you can object to farther reaching use of your data here.
